An address may, for example, be the event venue, a customer's home where the service is being provided there, or a business address for a corporate booking.
We do not take or store customers' debit or credit card details.
3. How We Receive Information
Information may be provided directly by you when you contact or book with us.
Enquiries may be received through our website, email, telephone, SMS, WhatsApp, Facebook or Instagram.
Website enquiries may be stored within our website provider's system and sent to us by email so that we can respond.
We may also receive relevant booking information from a venue, event organiser, business client or another person arranging an event.

Booking and customer information may be held in our business records, including invoices, booking spreadsheets/dashboard, business diaries, email and relevant communications.
Telephone numbers and other contact information may also be retained in business phone contacts and within communications such as WhatsApp, SMS and social-media messages.
Financial and accounting information may be processed using third-party accounting software.
Access to our main customer and business records is restricted to the business owner.
6. Staff and Operators
Where a member of staff or an operator is assigned to an event, we may provide them with the limited information they reasonably need to carry out that particular booking.
This will normally include information such as the booking/customer name, venue, arrival and operating times and relevant job instructions.
Staff and operators are not routinely provided with customers' full business records or unrelated personal information.
7. Third-Party Suppliers
We occasionally work with trusted third-party suppliers as part of larger event bookings.
Where this happens, we only provide information reasonably necessary for that supplier to provide their part of the service. This will normally include the venue, date, timings or duration and relevant service requirements.
A customer's name or contact information is not normally shared unless there is a reasonable need for the supplier to have it.
Where we simply introduce a customer to another supplier and the customer contracts directly with them, that supplier will be responsible for how they handle information provided directly to them.
8. Photographs, Videos and Event Media
Some Light Up Your Party services create photographs, videos or recordings as part of the booked experience. These may include Magic Mirrors, Photo Booths, Selfie services, 360 experiences and Audio Guest Books.
Photos and videos may initially be stored locally on the computer, laptop or iPad used to operate the equipment.
Where event content is uploaded to our online event-gallery system, local copies may subsequently be removed from the equipment once they are no longer reasonably required.
We periodically clear event files from our equipment to manage storage and avoid retaining local copies unnecessarily.
9. Online Event Galleries
Where an online event gallery is provided, photographs or videos may be uploaded to our event-gallery provider, LumaBooth, so that the customer can access their event content through a viewing link.
Content held in an online event gallery may remain available so that the customer can continue to access their event link.
Customers are encouraged to download and securely retain their own copies of event photographs and videos. Online galleries should not be regarded as guaranteed permanent storage.
Customers may contact us if they would like event content held by Light Up Your Party to be removed. We will deal with deletion requests where applicable, taking into account any information that we are required or reasonably need to retain.
10. Promotional Photographs and Videos
Light Up Your Party primarily uses photographs and videos of its equipment, setups and general event atmosphere for promotional purposes.
Suitable content from adult/private events may occasionally be used on our website or social-media channels. We will take reasonable account of the privacy of people appearing in event content and will respect requests from booking customers concerning the use of identifiable content from their event.
Where an individual or couple is intended to be the principal identifiable subject of promotional content, we may seek permission before using that content.
Light Up Your Party does not publish identifiable photographs or videos of children on its website, social-media accounts or promotional material.
For corporate, confidential or private events, we will respect client requirements concerning photography, video and publication.
Anyone with concerns about an identifiable photograph or video published by Light Up Your Party can contact us and request that we review or remove it.
11. Direct Marketing
We do not currently use customers' email addresses or telephone numbers to send routine direct-marketing emails, text messages or WhatsApp promotions.
Customer contact details are primarily used for enquiries, bookings and related communication.
12. How Long We Keep Information
We do not keep personal information for longer than we reasonably need it.
Different information is retained for different periods depending on why we hold it.
Booking, invoice, payment and financial information may be retained where necessary for tax, accounting, legal and business-record purposes.
Physical booking records and other information are securely disposed of when they are no longer reasonably required.
Event photographs and videos held locally on event equipment are periodically reviewed and removed when no longer required. Where content is provided through an online gallery, it may be retained for continued customer access as described above.
We periodically review information we hold and remove information where there is no longer a reasonable need to retain it.
The ICO does not prescribe one universal retention period; businesses should be able to justify retention according to the purpose for which the information is held.
